How to move your clients from another app
Your client list is the most valuable thing in your booking app. Here's how to take all of it with you, and how to tell your clients without losing any of them.

Export before you cancel anything
Most booking apps let you export your client list as a CSV or spreadsheet file. Look in the settings, in the client list, or in the reports. Do it before you cancel your plan, because once the plan ends you may lose access to your data.
If you can't find an export, write to the app's support and ask for your client list in a file.
What to export
- Names, the way your clients go by them.
- Phone numbers. They're how you'll reach clients, and how a new app can tell two people with the same name apart.
- Emails, for the clients who gave you one.
- Notes: formulas, allergies, preferences, anything you'd hate to lose.
- Upcoming appointments: date, time, client, service, and whether they paid a deposit.
- Services and prices, with how long each one takes.
- Visit history and birthdays, if the app lets you export them.
Open the file and check it before you go on. Look for a phone number on every client, and make sure long notes didn't get cut off.
Keep a copy somewhere safe. The file has your clients' personal information, so don't post it or send it to anyone who doesn't need it.
Clients who only live in your phone
Some of your clients may not be in any app, only in your contacts. You can export those too:
- iPhone (iCloud): on a computer or tablet, go to icloud.com/contacts, select the contacts you want and choose Export vCard. Apple's iCloud guide shows each step.
- Android (Google Contacts): on a computer, open Google Contacts, select the contacts, then choose More actions and Export. Google's help page shows each step.
Tell your clients about your new link
Send one short message to each client, and put the new link in your Instagram bio and anywhere else clients find you. Say what changes for them, and what doesn't.
Copy and adapt
Hi [name], this is [your name] from [business]. I'm now taking appointments with this link: [link]
You can book there any time, and you'll get a reminder before your appointment.
If you already have an appointment with me, it stays the same.
Any questions, write me here.

The same message in Spanish
For clients who prefer Spanish:
Copy and adapt (Spanish)
Hola, [nombre]. Te habla [tu nombre], de [negocio]. Ahora puedes sacar cita conmigo por este link: [link]
Puedes reservar ahí cuando quieras, y te llega un recordatorio antes de tu cita.
Si ya tienes cita conmigo, se queda igual.

Run both apps for a few weeks
- Share the new link and stop taking new bookings in the old app, or block the open times there.
- Leave the appointments already booked in the old app where they are, and block those times in the new one, so nobody can book the same time twice.
- Keep the old app until the last appointment booked there has passed. Check when its plan renews, so you don't pay another month you won't use.
- Export one last time, check the file, and then cancel.
How Bookeao Pro will help
- Start small. Setup will ask for one service first, then your hours and your clients, with card payments last. Any step can wait.
- We move your clients. Send us the export from your current app, and we'll move your clients, services and upcoming appointments for you, free. You check everything before it goes live.
- Or import them yourself, from your phone's contacts or from a file.
- Export any time. Your client list will always be yours to download in a file.
Questions
Will my clients have to download an app?
No. With Bookeao, clients will book from your link in their browser, without downloading anything. The first time they book, they'll sign in and confirm their phone number.
What if my current app doesn't have an export?
Ask its support for your client list in a file. Meanwhile, export your phone's contacts, so you have at least names and numbers.
How long should I keep both apps?
Until the last appointment booked in the old app has passed. How long that takes depends on how far ahead your clients book.
